1. Who we are

RailMind Technology Limited (銳脈科技有限公司), a company incorporated in Hong Kong, is responsible for the personal data described in this policy.

This policy applies to visitors from every country. Sections 8 to 10 add what applies in particular regions.

2. What we collect

When you visit this website, the web server records technical information that your browser sends: IP address, date and time, the page requested, browser and operating system, and the referring page.

When you email us, we receive what you send: your name, email address, the content of your message and any attachments.

This website has no contact forms, sets no cookies and uses no analytics or tracking tools.

3. Why we use it

We use server records to operate the website and keep it secure, and the content of emails to answer your enquiry and, where it leads to one, to work with you. We do not sell personal data and do not use it for advertising.

4. Who processes it for us

• Hetzner Online GmbH (Germany) hosts this website. Server records are stored in its data centre in Nuremberg, Germany.
• Microsoft provides our email (Microsoft 365) and processes the emails you send us on our behalf. Microsoft may process them outside your country.

5. Transfers between countries

We are based in Hong Kong, our website is hosted in Germany and our email provider operates internationally. Your data may therefore be processed outside the country where you live. Where the law that applies to you requires safeguards for such transfers, we rely on the safeguards offered by our providers, such as standard contractual clauses.

6. How long we keep it

Server log files are deleted after 14 days. Emails are kept for as long as needed to handle your enquiry and any work that follows, and longer only where the law requires us to keep business records.

7. Your rights

Wherever you are, you can ask us what personal data we hold about you, ask us to correct it, or ask us to delete it. Write to info@railmind.com. We will answer within the time the law that applies to you sets.

8. Hong Kong

We handle personal data in line with the Personal Data (Privacy) Ordinance (Cap. 486). You have the right to request access to, and correction of, your personal data. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner for Personal Data.

9. European Union, EEA and United Kingdom

Where the GDPR or the UK GDPR applies, we process server records on the basis of our legitimate interest in running a secure website (Art. 6(1)(f)), and emails to take steps you have asked for before a contract (Art. 6(1)(b)) or on the basis of our legitimate interest in answering enquiries (Art. 6(1)(f)).

If you write to us on behalf of a company, we rely on our legitimate interest in answering enquiries (Art. 6(1)(f)). Giving us information by email is voluntary; without it we cannot answer your enquiry.

In addition to the rights in section 7, you have the right to restrict processing and to data portability. Right to object: where we rely on legitimate interests, you can object at any time on grounds relating to your particular situation. RailMind has no establishment in the EU. You can lodge a complaint with the data protection authority of the country where you live or work.

10. Mainland China

Where the Personal Information Protection Law applies, you have the right to know about and decide on the handling of your personal information, and to access, copy, correct and delete it, and to ask us to explain how we handle it. Personal information you send us by email is handled outside mainland China, by us in Hong Kong and by our email provider.

11. Children

This website is meant for businesses and is not directed at children.

12. Changes

We may update this policy when our practices or the law change. The current version is always on this page.
